Receiving the Diamond From Your Supplier
When you receive the diamond from your supplier via FedEx, UPS or registered-insured mail, open the package carefully as to not rip any documentation or inadvertently drop the diamond parcel paper into an unseen cranny. Check the diamond for authenticity, weight and grade accuracy. Occasionally a dealer will send out the wrong stone purely by accident. If accompanied by a lab report, make sure the specs match the diamond. On several occasions the author has received GIAcertified diamonds that were damaged with small nicks. If this is not pointed out to the supplier immediately upon delivery, it is a grave possibility that you may be held liable. This is especially likely with the corners on princess cuts and the end(s) of pear shapes or marquis cuts. When you're satisfied with the safety check, call the supplier to make him aware that you have received the diamond(s) safely.
Before your customer(s) arrive(s) make sure you are well organized, so the meeting will go as smoothly as possible. When they do arrive, try not to rush into the details too quickly. First try to create a relaxed warm atmosphere by starting with small talk. After you've broken the ice, tell them a little about yourself (if you are comfortable with that). Then work the conversation to the diamond at hand.
